Terms & Booking Conditions… The Fine print

Itinerary Information

While we make every effort to keep your itinerary as is when booked, there are time we may need to modify it. Sometimes this involves changing the order in which some attractions are seen or a last minute cancellation to an attractions due to problems at the location . A final itinerary will be provided no later than 2 weeks prior to departure. There are times that tours/activities may be cancelled due to events beyond our control, including but not limited to Acts of God, War (whether declared or undeclared), terrorist activities, incidents of violence, public health issues, strikes, government restrictions, and/or fire or severe weather conditions which make it impossible or commercially unreasonable to conduct the tour. Cancellations by EFT for causes described in this section shall not be a violation of its obligations to any participant.


Participant Enrollment

We recommend that the Group Leader/Teacher encourage travelers to apply as soon as possible because tours fill up quickly. Participants will be given a copy of the preliminary itinerary, any other important or pertinent information, and the registration form. The registration form may be mailed in or may be completed online her. EFT will book vendors based on the estimated number of participants listed on the Group Tour Application signed by the group leader/teacher. If you need to add or remove participants, please contact EFT as rates may change.


Flight Information

Educational Field Trips works with all major airlines. We will always do our best to provide the most direct route to your destination. However, due to available flight routing, we cannot guarantee non-stop or direct flights. Depending on your group's size, you may sit together. However, we cannot guarantee seating assignments which is assigned solely by the airline. E- tickets will be provided two weeks prior to departure. Depending on seat availability, we may not be able to accommodate all members of a group on the same flight. However, this is quite rare and our first priority is to have the group travel together. Baggage fees are not included in your rates. Hotel Information

EFT nor the hotel cannot guarantee that all of the rooms will be on the same floor. These decisions are made entirely by the hotel, however, we work very closely with the hotel representative to try and make this possible. Most hotels used by EFT have security guard on duty in the evenings. If you would like to hire your own security guard to cover only your floor(s) at the hotel, please notify EFT as soon as possible so arrangements can be made. All rates are based on 4 participants to a room. If a participant requires a triple, double, or single room, there is a supplemental cost.


Travel Insurance

Educational Field Trips highly recommends that you purchase a travel protection plan to help protect you and your travel investment against the unexpected. Travel protection plans can include coverage for Trip Cancellation, Trip Interruption, Emergency Medical and Emergency Evacuation/Repatriation, Trip Delay, Baggage Delay and more. Refunds

Refunds for over payments will be issued only upon written request and after a participants check(s) has/have been in the account for 21 days. Refunds will be issued in the name which appears on the check, money order, or credit card that the payment was made from. All refund checks are mailed 4-6 weeks after the request has been processed. There will be a $35.00 non-refundable stop payment fee for lost refund checks.



Group Leader / Teacher Cancellation

A group leader/teacher must accompany participants on every tour. If a group leader/teacher cancels for any reason, EFT will ask him or her to assign a new group leader/teacher. The new group leader/teacher is responsible for any increases in his or hers own airline costs.

Terms and Provisions

The terms and provisions of these Booking Conditions supersede any other warranties, representations, terms or conditions, unless they are expressly stated within a Booking Conditions Addendum or in a letter signed by an EFT officer. Prices are subject to change pending any changes to the approved preliminary itinerary.
